Chairman’s Report – FatTracks AGM 2025

No more overwhelming, all-consuming portfolios that scared away potential volunteers. We’ve broken things down into 10 focused, manageable roles – because we know you’re busy, and we want to make it easier for you to give back to the trails you love.

There are over 400 members of FatTracks Adventure Trails, and every single one of us benefits from the incredible trails we have access to.

But those trails don’t maintain themselves. The pump track doesn’t build itself. Events don’t organise themselves.

Our club’s future depends on members stepping forward. So, we need your support.

  • Know a lot of people? You can help with marketing and telling them about FatTracks.
  • Good with your hands? You can help with trail building or repairing infrastructure or putting up new trail markers in the valley.
  • Good with numbers? You can help with managing the finances.
  • Have a knack for noticing when dodgy stuff is going down? You can help with notifying security and keeping the valley safe.
  • Love sharing your valley rides, videos and photos? You can be part of the marketing & social media team.

Whatever you can do will make a massive difference.

1.        Portfolio: Chairman

Strategic Leadership & Governance

  • Club administration and overall strategic co-ordination and direction
  • Define annual objectives and measurable deliverables
  • Governance oversight and constitutional compliance
  • Performance monitoring and strategy adjustment

Committee Coordination

  • Chair committee meetings and facilitate decision-making
  • Coordinate activities across all portfolios
  • Foster positive club culture and address member concerns

Insurance and Legal Compliance

  • Public Liability Insurance Management
  • Member indemnity processes and waiver systems together with Admin
  • Legal compliance and risk exposure monitoring
  • Coordinate with legal advisors as needed

2.        Portfolio: Trail Maintenance & Infrastructure

Trail Infrastructure

  • Ultimate accountability for all trail infrastructure (William Moffat to Target Kloof)
  • Oversee specialised facilities (pump track, jumps, berms, tabletops, technical features)
  • Conduct regular trail inspections and coordinate repairs

Maintenance Operations

  • Develop and implement maintenance schedules (daily, weekly, monthly)
  • Source and manage private contractors

Trail Worker Management

  • Direct and supervise trail maintenance workers
  • Task assignment and quality monitoring
  • Monitor work quality and ensure worker safety
  • Trail worker clothing/uniform needs

Equipment & Resource Management

  • Equipment and tool maintenance (brush cutters, chainsaws, etc.)
  • Supply management (fuel, brush cutter line, herbicides, building materials)
  • Facilitate transportation for crew, materials, and equipment

Facility Management

  • Container maintenance and organisation
  • Key management

Trail Marking & Wayfinding

  • Trail marking system and way finder maintenance (posts, signage, directional markers) in coordination with entire committee – this could be done with volunteers from the club on a weekend

Safety Management

  • Conduct/delegate regular safety inspections of trails and features
  • Address and report safety concerns promptly to committee

3.        Portfolio: Treasurer & Financial Management

Financial Operations

  • Maintain financial health and oversee club budget
  • Financial reporting and compliance
  • Authorise expenditures and maintain financial records

Revenue Management

  • Process membership fees and payments in coordination with Admin
  • Manage sponsorship funds and donor contributions
  • Coordinate with other portfolios on budget allocation

4.        Portfolio: Sponsorships & Partnerships

Sponsor Relations

  • Identify and secure sponsorship opportunities
  • Cultivate relationships with sponsors and donors
  • Ensure sponsor obligations and benefits are fulfilled

External Stakeholder Engagement

  • Engage with municipality (Environmental Management under Public Health)
  • Liaise with stakeholders (WESSA, community forums)

Valley Infrastructure

  • Maintain informational boards at 10 valley entrances

5.        Portfolio: Marketing, Member & Community Engagement

Member Relations

  • Help recruit and retain club members
  • Engage with schools and youth programmes
  • Address member enquiries and concerns together with Chair and Admin
  • Respond to messages about trails (trees down, sewerage, fire, signage, vagrants) and escalate to relevant portfolios together with Chair and Admin

Marketing & Communications Collaboration

  • Build relationships with media outlets for publicity (Admin can assist with this as they have media relations experience)
  • Work with Admin to develop and execute marketing strategies
  • Work with Admin to create content for promotional materials / outsource creation
  • Work with Admin on internal communications to members
  • Work with Admin on event promotion and coverage
  • Work with Admin to coordinate volunteer recruitment messaging

6.        Portfolio: Environmental Stewardship

Environmental Programmes

  • Coordinate with environmental groups (WESSA) for alien plant control and eradication
  • Indigenous tree planting initiatives (endemic species) to get members involved in tree donations – Once a year on arbour day

Sustainability Management

  • Erosion identification and sustainable solutions
  • Ensure trail sustainability and minimise environmental impact
  • Manage environmental compliance

7.        Portfolio: Merchandising & Events

Event Management

  • Fun ride / social rides organisation & coordination (Newbie Tuesdays, Crank4Coffee)
  • Race day logistics (medics, toilets, sound, registration, petty cash)
  • Obtaining prize donations for any events organised by FatTracks
  • AGM organisation
  • Volunteer recruitment for events

Waterpoint Operations

  • Waterpoint coordination for external events – and organising volunteer support (Herald MTB, Longmore Classic, etc.)

Merchandise Management

  • Club merchandise inventory and sales
  • Design and source branded merchandise
  • Manage merchandise revenue
  • Storage of merchandise

Community Programmes

  • Second hand riding clothes collection and donation
  • Storage in container
  • Contact clubs to collect

Event Documentation

  • Event photography (especially sponsor banner visibility)

Content Contribution

  • Regular photos/videos from trails sent to Admin for social media

8.        Portfolio: Admin & Communications

Membership Administration

  • Managing all communications sent to ftadmin@fattracks.co.za
  • Managing Cycling SA applications and evaluations
  • Using member management system to download member lists
  • Monthly decal printing coordination
  • Decal delivery to stores (every 1-2 months)
  • Adding debit orders to accounting system & setting up monthly debit order batch

Committee Administration

  • Meeting agendas preparation (with Chairman)
  • Minutes taking and distribution

Digital Communications

  • Manage front end and back end of website (Upload all content to website)
  • Manage all club social media platforms and WhatsApp groups
  • Design all content for coms channels, posters, signage – this can be done in coordination with Marketing
  • Design and distribute club newsletters via Mailchimp
  • Work with Marketing to develop and execute marketing strategies
  • Work with Marketing to create content for promotional materials / outsource creation
  • Work with Marketing on internal communications to members
  • Work with Marketing on event promotion and coverage
  • Work with Marketing on brand management and club visibility
  • Work with Marketing to coordinate volunteer recruitment messaging

9.        Portfolio: CSA club rep & XCO events liaison

CSA Representation

  • Attend CSA district meetings on behalf of FatTracks
  • Report back to committee on CSA matters and decisions

Event Coordination

  • Assist with coordination of XCO events held from the containers with event organisers
  • Assist with coordination of school events held from the Containers with event organisers

Sponsor Marketing Support

  • Ensure Conti/other sponsor marketing is displayed at events
  • Photograph all marketing material that is set up at events

Event Documentation

  •  Send photos of marketing material to Admin for tagging on social media
  • Send photos to Marketing/Sponsor portfolio as proof of sponsor visibility

Content Contribution

  • Regular photos/videos from trails sent to Admin for social media

10.   Portfolio: Security & Risk

Security Management

  • Check/monitor ATLAS alarm system at containers, ensuring alarm system always functional
  • Act as go-to person if alarm is triggered, follow up with Chairman
  • Liaise with homeowner forums of suburbs bordering on the valley
  •  Report any illegal activities to committee and applicable authorities (e.g. squatters, fires, poaching, etc.)
